Request for Proposals: Graphic Design Services

Purpose:
The Upper Delaware Council (UDC) seeks proposals from qualified graphic designers or design firms to modernize the visual design and functionality of The Upper Delaware, the Council’s tri-annual newsletter about the environment and people of the Upper Delaware River Valley in New York and Pennsylvania that has been continuously published since 1988. The selected consultant will create an updated design that reflects contemporary publication standards while preserving the newsletter’s recognizable identity and overall format. The project includes development of a fully editable Adobe InDesign template, documentation, and staff training to enable UDC personnel to independently produce future issues. This is an independent contractor position of limitRFP Newsletter Redesign For Websiteed duration, with payment to be made upon receipt of invoice. The consultant must be able to travel to our Narrowsburg, NY office for instructional training purposes.
Scope of Services:
Design Concept Development
Develop one or more design concepts that refresh the appearance of the newsletter while maintaining continuity with its established identity. The redesigned publication should remain recognizable as The Upper Delaware rather than becoming an entirely new publication.
Production Compatibility
The template shall be compatible with the UDC’s Adobe InDesign subscription (newsletter currently created with Quark Xpress Version 9 design software) and current production process.
The design should:
• accommodate varying article lengths to flow across pages as necessary
• accommodate varying numbers of photographs
• be formatted and camera-ready for professional printing (two colors) and as a digital PDF (full color) to post online and distribute
• maintain the UDC contracted newsletter printer’s existing specifications: 12-page count; 50# offset bright white recycled paper or equivalent; half-fold finish to 5.5 x 8.5-inch letter size with a wafer seal; unless otherwise recommended and approved.
Training and Knowledge Transfer
Provide instructions to designated UDC staff on use of the Adobe InDesign template.
Final Deliverables
Provide by November 30, 2026 after the anticipated contract award date of October 1, 2026:
• Complete Adobe InDesign template package (INDT and .INDD files)
• Linked graphics
• Fonts (where licensing permits)
• Style sheets and graphic assets
• Written template guide
• Final print-ready sample issue or sample pages
• All editable working files created during the project
• Consultation to convert additional UDC Quark Xpress document files to Adobe InDesign
• Schedule and implementation of staff training sessions in Narrowsburg, NY
